Project Cargo: Information for a Quote
For machinery buyers, manufacturers and project teams, a usable project cargo quote starts with verified data for each transport unit. Send packed dimensions, gross mass, handling information and collection/delivery conditions before choosing equipment. Identify unknowns explicitly: a budget indication does not establish technical acceptance.
Is the cargo brief ready for a quotation?
A machine may need specialist review because of dimensions, concentrated loads, handling restrictions or site access. Total shipment weight cannot describe those conditions. Separate an early planning estimate from a quotation based on the final transport configuration.

| Information | Provide | If unknown |
|---|---|---|
| Each cargo unit | Quantity, description and a unique piece reference | List the units awaiting confirmation. |
| Packed size | Overall length, width and height with units, including projections | Label estimates and state when final measurements will follow. |
| Gross mass | Mass of each transport unit, including packaging and supports | Request the manufacturer’s verified figure. |
| Handling data | Centre-of-gravity and approved handling/support drawings | Request qualified technical review; do not guess. |
| Movement scope | Exact pickup and delivery locations, readiness and receiving conditions | Describe the missing address, access or equipment information. |

Measure the transport unit, not only the machine
A crate, skid, protective cover or securing arrangement can change the transport envelope. Keep the bare-equipment drawing separate from the packed configuration and give each file a revision and date. Maersk advises updating declared dimensions when the final configuration changes; this is a carrier example, not a universal booking deadline.
The centre of gravity is the position representing the distribution of the unit’s mass. It is not necessarily at the geometric centre. Carrier guidance identifies it and load distribution as relevant to cargo assessment. The manufacturer or competent engineer should supply the information and review the proposed handling method.
- Provide photographs with piece references and drawings showing orientation and projections.
- Identify support locations, approved lifting points and restrictions on tilting or stacking.
- Disclose contents that require classification, such as batteries, liquids or hazardous substances.
- Confirm who will issue final packing and cargo data before a booking is accepted.

Treat the route and both sites as part of the brief
A workable port-to-port option is only part of a project movement. The quotation also needs the collection site, terminal interfaces and final delivery point. Ask the responsible operator which route, survey, permissions and receiving arrangements still need review before committing to the movement.
For container or flat-rack movements, the IMO/ILO/UNECE CTU Code provides non-mandatory global packing guidance across sea and land interfaces. It does not approve a specific lift, trailer, crane or route. Those decisions need competent parties and the applicable local approvals.
- State gate and access restrictions, loading location and any confirmed site survey.
- Identify who supplies loading, unloading, storage and final positioning; these are distinct scopes.
- Record delivery appointments, site contacts and the documents required before access.
- Ask for a named owner for each unresolved technical or authority approval.

Compare scope and assumptions before comparing totals
A detailed brief makes competing offers easier to compare, but quotations may still depend on equipment, terminal and authority acceptance. Request written inclusions, exclusions, validity and outstanding approvals. A price is not an approved operating plan.
- Separate collection, main carriage, transfer handling, delivery and positioning charges.
- Identify packing, survey, engineering, permit, escort, storage and customs responsibilities where relevant.
- Do not compare an unpacked-size quote with a packed-size quote.
- Do not reuse old drawings after the unit, packaging or handling arrangement changes.
Hypothetical example: a packaged production machine
A buyer requests transport for a production machine using catalogue dimensions. Its crate and support skid are still being designed. The buyer requests a qualified budget indication, then supplies final drawings, verified gross mass, handling information and collection-site access details for the firm quotation. This is a hypothetical review sequence, not a customer case, route recommendation or assurance of carrier acceptance.
Documents and information to request a quote
Send the packing list, dimensional drawings, available manufacturer handling instructions and photographs. Add the commercial invoice or product description, declared value for any requested insurance review, and safety/classification records where relevant. State which documents are preliminary and who will supply the final versions.
Location and review date: requirements must be checked for the actual origin, transit countries, ports and destination, as at 13 October 2026 and again before execution. Local transport permits, customs treatment and engineering approvals require confirmation by the appointed specialists and authorities.
- Piece list with dimensions, units, gross mass, packaging and measurement status.
- Centre-of-gravity, support and handling drawings, or a clear request to resolve missing data.
- Exact collection and delivery addresses, site contacts, access restrictions and receiving arrangements.
- Cargo-ready date, requested delivery window and acceptable planning flexibility.
- Required scope, preferred modes if any, document needs and approval responsibilities.
Buyer questions
Can I request a quote before packing is complete?
Yes, identify the measurements as preliminary and ask what assumptions the budget indication uses. A firm scope and acceptance review may require the final packed configuration. Update the provider when any declared information changes.
Is gross mass enough to choose a flat rack?
No. Provide dimensions, support arrangement, mass distribution and handling information as well. Equipment and load acceptance are shipment-specific decisions for the relevant competent parties; a published payload figure is not an approval.
Who supplies the lifting plan?
Name the responsible qualified party in the enquiry. Ask whether engineering review, lifting documentation and site operations are included, separately priced or buyer-supplied. The freight quote should not leave that responsibility implied.
